Operations Coordinator- Occupational Health

General Summary of Position
Provides Shared Services support for Occupational Health. Partners with OH and TA to advance candidates through the onboarding process efficiently. Assists in administrative coordination for all OH sites. Supports the OH Operations Manager in systemwide tasks for the effective and efficient functioning of departmental operations.

Primary Duties and Responsibilities

  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Works as liaison between patient finance and Worker's Compensation TPA to obtain information needed to reconcile and bill Workers' Compensation for services provided to injured workers.
  • Aids in monitoring, reviewing, and reconciling invoices received from vendors. Submit POs using the proper system process to facilitate vendor payments.
  • Prepares Wage statement for all injured associates to provide to Workers' Compensation TPA.
  • Runs and distributes compliance reports to ensure compliance with all annual surveillance programs.
  • Monitors Occupational Health Scheduling tool to ensure compliance with documentation guidelines and timely status updates.
  • Assists with the implementation and management of special projects and health compliance program requirements for Medstar associates. Programs include but are not limited to mandatory influenza vaccine program, N95 fit testing, and large onboarding projects.
  • Provides occasional administrative coverage in Occupational Health clinics and at system compliance events.
  • Partners with onboarding to send, receive, and track required pre-employment documentation for new hires; communicates with new hire candidates on an ongoing basis to ensure they are moving through the Health Screening process efficiently and meet their hiring date.
  • Communicate with Human Resources Onboarding any barriers to timely onboarding.
  • Responsible for timely and accurate completion of assigned duties.
  • Maintain associate files to ensure readiness for state and federal regulatory agency audits.
  • Facilitate the ordering of equipment and supplies for all Occupational Health Sites.
  • Serve as departmental liaison with internal departments and with external vendors.
  • Assists with data management in the department EMR.
  • Demonstrate behavior consistent with Medstar mission, vision, goals, and objectives. Provide a consistent level of service in all communications.

    Minimum Qualifications
  • Associate's degree required or
  • Bachelor's degree preferred or
  • equivalent combination of relevant experience and education
    • 3-4 years Experience in administrative and/or occupational health environment. preferred and
      Licenses and Certifications
      • No special certification, registration or licensure required
        Knowledge, Skills, and Abilities
        • Strong working knowledge of various computer software applications.
        • Good interpersonal, customer service, and communication skills at all levels.
        • Good organizational skills.
