Job Description:

CONNOR has a full time Document Production and Administrative Support position available with our Baltimore-office. This position is the nerve center for our over Front Office operations. Our Document Production and Administrative Support staff actively support the operations at CONNOR.

This position will provide direct daily support (Operational Duties and Responsibilities) to:

CONNOR Institute

  • Update, print and maintain stock of all our training materials. This includes 80 to 1,200 page manuals. Printing shall occur the first week of the month in order to restore the inventory par and to produce any excess inventory to cover planned monthly classes.
  • Coordinate with Human Resources to ensure an adequate supply of materials to maintain Operational Readiness.
  • Coordinate and provide to the Training Center, student related Lunch time meals and afternoon cookie breaks.
  • Print, insert and deliver to the USPS monthly educational materials associated with our returning student Alumni. Update the Master Database based on returns.
  • Proof, assemble and provide on a real-time class basis - Maryland Department of Environment (MDE) required training cards. This event may occur up to four (4) days per month. Requiring approximately 90 minutes of production time.
  • Support the CONNOR Institute Logistics' Staff Member, as required, to ensure smooth running classes.
    Forensic & Environmental Compliance Services
    • Print all records relative to the case (i.e., records, CONNOR produced documents, CLBR Report, case analysis, Inspection Observation, case file index, NTTD, letters received from client, etc.). All correspondences received from the client are to be place behind the case file index within the physical folio. In addition, generate physical tabs for each corresponding file. Each tab must be reflective of the case file index. 1000+ pages.
    • Scan closed case file folders to determine documents that are "retainable" and "to be purged"
    • Review and QC of printed documents for format and general errors.
      Compliance and Sustainability Solutions
      • Print, post via sharefile, and ship reports, produced by department, through Connor Management System. Verifying shipping name and address.
      • Print, post via sharefile, and ship reports/ closure letters/ memos, produced by Department Head and Inspectors. Verifying shipping name and address.
      • Review and QC of printed documents for format and general errors.
        Real Estate Due Diligence (REDDi)
        • Ability to multitask, proofread and edit documents from multiple platforms (e.g. Microsoft Word, Microsoft Excel, Microsoft Visio, and Adobe InDesign), then converting and combining into a single Adobe Acrobat PDF document.
        • Upon final review and approval by Department Head or inspector, take draft report to final production.
        • Make follow-up calls to various government agencies to obtain responses related to our Freedom of Information Act requests.
          General Office Support
          • Cover Front Office, in coordination, with other Staff Members.
          • Learn the abilities of the SNOM telephone system, including documenting and updating a User Friendly guide.
          • Learn the abilities of the digital printers, document system operations, develop and update a User Friendly guide.

            Requirements

            Qualifications:
            • The applicant preferably has a minimum of an Associate's Degree in Administrative Assistant, Secretarial Science, or Office Management and at least two years' experience in a fast paced professional office setting.
            • Minimum 3.2 GPA
            • Ability to type, error free, at least 80 words per minute.
            • Demonstrably proficient knowledge of standard business software tools such as Microsoft Word, Microsoft Excel, and Adobe Acrobat. Experience in data processing. Familiarity with database software and online document repositories; and online research experience and/or knowledge.
            • Ability to multitask, prioritize, and work efficiently; stellar communication skills; strong attention to detail; advanced writing and review skills; technical familiarity; proficiency in time management; strong teamwork ability; mindful of deadlines and event dates; and task oriented.
              Responsibilities/Duties:
              • Within 60 days of employment document the performance to support CONNOR Institute, CONNOR F&EC and REDDi Departments.
              • Read, implement and maintain the Company's Policies and Procedures.
              • Receive an Acceptable rating from an independent employee background investigation as provided by a third party.
              • Pass initial and ongoing Employee Drug Screening Test.
              • Present a clean and professional appearance during working hours.
              • Wear Company provided uniforms during routine working hours.
              • Accurately record and process daily a concise description of billable and non-billable work. All time must be tracked in 6 minute increments.
              • Any and all duties that may be assigned by the Company.
