SUMMARYThe Administrative Assistant is responsible for supporting activities that ensure the organization is offering-and its members are receiving-the highest level of value through a defined benefits program underpinned by exceptional member services.

PRIMARY DUTIES AND RESPONSIBILITIESThe Administrative Assistant will support the CEO and Business Development Manager in implementing, maintaining and monitoring short- and long-term strategic organizational initiatives. Core duties and responsibilities include but are not limited to:

  • Scheduling and managing details and resources for meetings and events
  • Organizing and managing event logistics (i.e., sponsors, sponsorship booths, participant materials, catering, A/V, etc.)
  • Providing support as needed for special projects
  • Uploading and updating information as well as ensuring accuracy of details and resources on website
  • Managing internal development (i.e., formatting), external distribution of, responses to and analytics for organizational outreach initiatives such as e-newsletters, brochures, etc.
  • Managing databases to ensure timely and accurate initial capture and subsequent updating of comprehensive details related to all activities, projects, member information, referrals, etc.
  • Managing invoice and expense process
  • Tracking global events and news of interest to member community and individual members to support business development and cross/marketing initiatives
    QUALIFICATIONS
    • Minimum of one (1) year of experience in a service industry preferred
    • Strong interpersonal skills including a tangible ability to interact in a professional manner (i.e., demonstrating diplomacy) with individuals (e.g., attorneys) at all leadership/organizational levels as well as fellow staff, sponsors, vendors, etc.
    • Aptitude for taking initiative as well as working collaboratively on a team in a fast-paced environment
    • Exceptional organizational/project management skills
    • Exceptional written and verbal communications skills, including an ability to develop as well as edit content
    • Exceptional time management skills; consistent demonstration of sound judgment and dependability; strong critical thinking and problem-solving skills
    • Proficiency with Microsoft Office applications, especially Word, Excel, PowerPoint and Outlook is essential; experience with CRM (HubSpot) is a plus
    • Flexibility to travel nationally and internationally at least twice a year
      EDUCATION-- Bachelor's degree required, preferably in Marketing, Communication, Business, English or similar/relevant field
