Job Description:

The Administrative Assistant will provide administrative support to The League's development & marketing department, and other departments as assigned. Under the direction of the Director of Development, the Administrative Assistant will provide high-level support for the development & marketing function, while promoting the organization's mission and values to external stakeholders. This position will work with peers, management, and external stakeholders in a fast-paced environment. Essential Duties and Responsibilities:Customer ServiceProvide a high level of customer service as the front of office for the development and marketing departments, fielding all general phone and email inquiries. This includes general questions, donations by phone, and other incoming communications that require a timely response. Be the lead staff person to coordinate relationships with all external vendors that support the development & marketing department, which include; printing, department supplies, special event vendors, etc.In collaboration with the VP of Development & Marketing and President & CEO, coordinate all logistical needs for meetings for volunteer leadership (Board of Directors, Executive Finance Committee, Special Event committees, meetings with donors, etc.) including collecting RSVPs, room and audio-visual setup, compiling and printing meeting documents, recording meeting minutes, refreshments, etc.Database ManagementManage the CRM platforms by maintaining all contact information, and donor information, merging duplicates and completing data clean up.Generate CRM platform reports on a weekly, monthly, and as-needed basis. Generate invitation and mailing lists as required. Donor RelationsEnsure that all donations are accepted, recorded, acknowledged, and reported in a timely and accurate manner. Draft, prepare and distribute general correspondences and customized acknowledgment letters as assigned, including ongoing donor cultivation pieces.Conduct donor research as assigned.Special Event SupportCollect event RSVPs and provide accommodations for guests as requested.Produce seating, meal, auction, and other reports as needed.Provide support for all logistical needs for events such as set-up, break-down, volunteer coordination, ordering supplies, and more.General Administrative SupportKeep all development & marketing documents and supplies filed, organized, and updated.Attend all major development and marketing events, and provide day-of-event support with logistics and other tasks as assigned.Maintains flexibility and the ability to prioritize in regards to job duties and enhancements to current processes and procedures.Manage all department expense reports and accounts payable requests.Manage all mailing needs for the development & marketing department including outgoing mail, returns, and coordinating postage supplies.Responds to requests to pick up and deliver correspondences and gifts as assigned. Other Duties and Responsibilities:Assist with coverage for Front Desk Receptionist.Additional responsibilities as assigned. Assist with management of the content on The League's website, as assigned by the Communications Manager.

Ability to drive a vehicle.Ability to lift up to 25 pounds.Ability to stand on your feet for 3-6 hours, 4-6 times a year for events.Flexibility in a changing schedule due to business demands including periodic nights and weekends. Educational and Experience:High School Diploma or equivalent is required. College preferred.Past administrative support experience required. Solid Microsoft Office skills and ability to quickly learn and manipulate new software.
