We are looking for a passionate Office Manager & Executive
Assistant to the Head of Sales to manage the day-to-day operations
for the Schneider Electric Federal HQ office in Columbia, MD,
completing a variety of office services to ensure that the
organization's current and future administrative needs are met
efficiently, reliably, and economically. ESSENTIAL FUNCTIONS:
Executive Assistant Head of Sales (50%) Administrative Assistance:
Provide administrative support including scheduling, document
preparation, travel coordination, and recordkeeping. Local Office
Manager (50%) Manage general office repairs and services: Oversee
daily facility needs, coordinate repairs, and ensure a clean, safe,
well-functioning workspace. Employee engagement relations: Support
employee experience through events, celebrations, wellness
activities, and general workplace engagement. Office Vendor
Management: Manage vendor relationships, contracts, service
quality, and office supply needs. Point of contact for guests and
visitors: Welcome visitors, manage access, and maintain a
professional reception experience. Business
Communication/Announcements: Draft and distribute site
communications and maintain internal information channels. Liaise
with functional/operational managers: Coordinate with leaders to
ensure adherence to office policies and smooth operational
alignment. Additional responsibilities as assigned: Support special
projects and evolving business needs as required. MINIMUM
QUALIFICATIONS: 7 years experience in office administration and
leadership. Demonstrates dependability, sound judgment, and the
ability to handle sensitive information with confidentiality.
Adjusts quickly to shifting priorities, unexpected challenges, and
evolving business needs. Communicates clearly and professionally
while building strong, collaborative relationships across all
levels of the organization. Manages multiple tasks, deadlines, and
workflows with efficiency and structure. Identifies issues
proactively and develops practical, timely solutions. Takes
ownership, anticipates needs, and acts without waiting for
direction. Influences outcomes, drives progress, and ensures follow
through on key tasks and initiatives. Manages office related
budgets, tracks expenses, and ensures cost effective decision
making. Maintains accuracy and thoroughness in documentation,
