Resp & Qualifications

PURPOSE: This position provides a complete range of legal support services to the Program Director, Procurement Contracts and Governance and other members of the team, as directed .


Under the supervision of Program Director, Procurement Contracts and Governance, accountabilities may include, but are not limited to, any combination of the following duties, as needed. The percentage of time spent on the categories will vary depending upon business needs.

Records Management

Monitoring and managing compliance with corporate insurance requirements. Duties include collecting and compiling Certificates of Insurance ( COI ) for each vendor contract..

Creating and maintaining the system for monitoring and managing COI s..

Managing requests from internal staff, external auditors, and regulators for COI s.

Ensuring COI s are updated annually, comply with the governing contract and are uploaded into the database.


Assist Program Director, Procurement Contracts and Governance with monthly Ariba reporting to track the status of open projects in Legal review and projects that have been approved. Assist Risk Management with reporting requirements for Enterprise Risk Governance Committee relating to contract exceptions for insurance and limitation of liability.

Project Management

Oversee all aspects of projects, including but not limited to: set deadlines, assign responsibilities, monitor and summarize progress. Prepare reports for management regarding status of project. Liaison with Strategic Sourcing and Procurement and other departments within the company to coordinate and complete the project.

Administrative Support

Provides support as a legal administrator and performs various office managerial duties as appropriate. Supports the Program Director, Procurement Contracts and Governance with managing the operations of the PCM team, including budgeting, ordering/maintaining office supplies, etc. Researches and reports on miscellaneous business/corporate issues. Coordinates the office space needs of the PCM team, collaborates with IT technicians, and troubleshoots problems involving internal systems.


Develop and document standard operating procedures (SPO s) and work with the PCM team to continually improve SOP s.

Other Duties As Assigned.

Performing other duties, including preparation of memoranda, charts, graphs, and spreadsheets, review of documents, or other related tasks as needed.


Required: Bachelor s degree with a minimum of two(2) years related experience or no degree with minimum of six (6) years related experience.

Required Abilities/Skills:
This position demands strong analytical, interpersonal, and written and verbal communication skills. This individual must have (1) the ability to follow instructions and to be flexible/versatile; (2) the ability to work independently within the parameters set by and under the supervision of counsel; (3) the ability to work effectively in a fast paced environment with frequently changing priorities, deadlines, and workloads; and (4) the ability to meet established deadlines and handle multiple customer service demands from internal and external customers, within set expectations for service excellence.

This individual must be highly proficient in creating, editing, and modifying documents in Microsoft Word, including use of track changes and version control, highly proficient in the use of Adobe and similar programs for creation, labeling and maintenance of PDF documents as needed, highly proficient in communications by e-mail; proficient in Microsoft Excel and PowerPoint; and able quickly to become proficient with other related technologies as needed. Experience in Ariba is a plus.
