The Executive Assistant is an individual that is crucial to the success of an Executive s ability to lead. Under a moderate level of guidance and direction, the Executive Assistant will perform administrative duties such as scheduling, drafting, editing, and typing complex reports, developing, implementing, and maintaining appropriate office protocol and organization. Arrange meetings, schedule appointments, complete travel arrangements and maintain personal appointment book for department. Performs a range of straightforward assignments related to discipline. This position will be expected to competently execute day-to-day administrative tasks as assigned by various department staff and assist with a variety of departmental projects.

* Initiates, composes and types complex correspondence, reports and/or minutes from rough draft.

* Receives and screens visitors and telephone calls for the department.

* Provide overall administrative support.

* Manages KRONOS for department.

* Coordinates project management activities as assigned.

* Reviews, processes and tracks department purchase orders and invoices.

* Coordinates communications between department and external organizations and groups with related business activity. May be required to handle highly sensitive and/or confidential information.

* Uses monthly financial reports to analyze variance from department budget and to reconcile purchases vis- -vis account codes and cost centers. Utilizes basic software applications and database management tools including Microsoft Word, Excel, Power Point, Access, Project and Visio.

Requirements:

* Education:

High school diploma or equivalent required. Associate s degree preferred. Requires specialized secretarial skills such as office management, statistical typing and accounting skills generally obtained in the first two years of college or technical/business school or equivalent.

B. Knowledge:

Has working knowledge and experience in own discipline and broadens capabilities. Continues to build knowledge of the organization, processes and customers.

C. Skills:

Proficient PC skills and demonstrated ability to use various software applications to include word processing, spreadsheet and database management applications.

Requires strong interpersonal skills to handle sensitive and confidential information. Demonstrates poise, tact, and diplomacy to interact with diverse groups of people within the company and from outside agencies. Requires self-motivation, demonstrated ability to work independently and to make good decisions/judgment as related to various situations

Work requires three years of related experience supporting mid to upper management level executives.

Dimensions:

A. Budget Responsibility:

Orders approved supplies, services, and equipment. Assists with monitoring project operational budget and develops related reports.

Assists with managing the financial responsibilities of the department.

B. Authority/Decision Making Level:

Requires working independently with limited supervision. Prioritizes and organizes work to meet frequently changing priorities. Make decisions regarding work processes based upon established guidelines.

C. Supervisory Responsibility:

None.

Problem Solving:

Requires a good understanding of the interdependencies among internal departments. Analytical ability is required to complete assigned tasks, gather and interpret data from different sources and resolve problems. Uses prescribed guidelines or policies to analyze and resolve problems.

Information Management:

Basic software applications and database management. Responsible for ensuring the complete and timely authorization, documentation, proper flow and follow-up of purchase orders, invoices, and check requests. Uses monthly financial statements to analyze variances from department budget and to reconcile purchases vis- -vis account codes and cost centers. Responsible for implementing corporate/departmental records management policies and procedures in order to ensure the proper classification, retention, and disposition of records and information.

Working Conditions:

Works in normal office environment where there are no physical discomforts due to dust, dirt, noise and the like.

Work is sedentary in nature; however, some stooping, bending and walking is required. The position requires keyboard activity, pulling, filing, and duplicating.
