Job Description:

  • Job Summary
    • Under direction of responsible physician and Site Manager, provides day-to-day operational support to the department which includes administrative and medical assistant support.
  • Minimum Qualifications
    • Education/Training
      • High school graduation or equivalent.
    • Experience
      • 1 year secretarial experience; 2 years patient care experience in a medical practice preferred.
    • License/Certification/Registration
      • CMA (Certified Medical Assistant) through American Association of Medical Assistants, or RMA (Registered Medical Assistant) through American Medical Technologists, or certification/registration from a nationally recognized agency. CPR certification.
    • Knowledge, Skills & Abilities
      • Procurement, patient care, and clinical abilities. Working knowledge of electronic medical records. Superior verbal and written communication skills.
  • Primary Duties and Responsibilities
    • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.
    • Demonstrates basic skills necessary to implement provider orders and clinical interventions Meets Job Competencies and maintains annual competencies as required. Performs and documents TPR and BP, height and weight on patients. Assists patients with dressing or undressing, completing paperwork, providing directions or other services needed by the patient. Assists in providing instructions to patients for procedures or examinations. Ensures medication information is accurate and current for each visit. Safely administers medications according to standards. May prepare laboratory materials, if necessary.
    • Develops and reviews an annual self development action plan with management to ensure ongoing satisfactory performance.
    • Embodies “SPIRIT” in all interactions with all internal and external “customers.” Works cooperatively within own and other departments. Demonstrates conservation and responsible use of resources. Continually strives to suggest and implement ways to improve personal, departmental and institutional performance.
    • Follows Infection Control, Universal Precautions and OSHA guidelines/regulations.
    • Greets patients in a friendly, courteous manner. Answers telephone inquiries and forwards messages according to a designated protocol.
    • Maintains organization and efficiency in running of the medical office including all functions related to scheduling, documentation, billing, and filing. Processes patient chart as it relates to visit, maintains chart in organized status according to policy. Verifies and updates insurance and demographic information prior to each patient visit. Information Control: Maintains proficiency in the use of all electronic applications to ensure all patient information is current, accurate and available to provider for each patient interaction as listed under MA Job Functions.

Tracks lab, imaging results and consults until results are available and in EMR. Opens, review and distributes interoffice/external mail. Brings priority items to supervisors/managers attention.
    • Participates in multidisciplinary quality and service improvement teams. Participates in meetings and on committees and represents the department and hospital in community outreach efforts. Performs other duties as assigned.
    • Prepares examination rooms for patient and provider use. Maintains stock of required supplies, maintains equipment/environment in good repair and order, routinely cleans and stocks areas, carts, rooms, etc.
    • Schedules appointments, maintains appointment calendar for patients and providers. Assists with scheduling appointments for testing or evaluation at other offices, when needed. Ensures that access meets patient demands. Verifies and updates insurance and demographic information prior to each patient visit.
    • Supports patients/families in plan of care and self management, self efficacy and behavior change. Under the direction and supervision of the physician, provides care specific to the education, physical, psychosocial, cultural and developmental/age specific needs of the patient. Assists medical provider with patient examinations or evaluations.
